Graduate Assistantantships
Graduate Assistantships (GA’s) are awarded as financial support for eligible graduate students within the Rosemont College Schools of Graduate & Professional Studies (SGPS). Eligible graduate students are students who have been fully accepted into a master’s degree program (i.e., candidates who are pursuing certification only, or who are non matriculated, are not eligible). GA’s are intended to facilitate progress toward the earning of a graduate degree.
Graduate Assistants
Graduate assistants (GAs) are all other students enrolled in the Graduate School who receive assistantships that are not specifically designated for teaching or research. Duties assigned to this category may include assisting faculty with a variety of academic tasks, including but not limited to: providing technical support for courses taught by faculty; working on grant funded projects related to program development, evaluations, outreach, among others; gathering, organizing, and analyzing data for faculty; or working in a non academic unit of the College.
Program Overview & Requirements
All graduate assistantships benefit both the graduate student and the academic or administrative unit. The unit receives a minimum 10 hours per week (130 hours per semester) assistance from the supported graduate student and the GA receives work experience and mentorship in research, teaching, coaching, or administration which is intended to facilitate professional development. A graduate assistant’s work schedule must not exceed 15 hours per week. As renumeration for service, GAs receive one course (3 credits) gratis during the semester of service. Additional compensation in the form of a stipend may be provided by the academic or administrative unit if budgeted for department budgets, or if the GA is eligible for and awarded Federal Work Study funds.
Graduate assistantships are appointed each semester (Fall, Spring, Summer). Individual academic and non-academic departments are responsible for establishing a job description and work schedule, conducting interviews, and evaluation of the assistantship experience. GA awards are granted for a designated semester in which the student is enrolled. Graduate Assistantships may be awarded for a maximum of four semesters, dependent upon satisfactory work performance and demonstrated scholarship within the program.
Eligibility:
- GAs must achieve regular admission status in a Graduate degree program.
- Effective Spring 2024, GAs must enroll in at least 6 semester hours of graduate degree coursework consistent with their plan of study in each semester.
- International GAs must enroll in 9 semester hours of graduate degree coursework consistent with their plan of study for the fall and spring semesters.
- GAs must maintain a GPA of 3.0 or better, demonstrate satisfactory academic progress and adhere to the Rosemont College Code of Conduct.
- Graduate assistantships cannot be offered to undergraduate students in accelerated degree programs. They must graduate with their undergraduate degree before being offered an assistantship.
Hiring Process:
- Hiring managers should complete a job description that includes (1) type of assistantship with duties and responsibilities; (2) specifications of the job’s requirements; (3) number of work hours required of the graduate assistant each week; and, (4) objectives for student learning and submit to the Office of the Academic Deans.
- Once approved, announcements will be posted on the ADP jobsite.
- Hiring managers should interview prospective candidates. Upon choosing the final applicant, the hiring manager will notify the Office of the Academic Deans.
- The Office of the Academic Deans will send the GA applicant a contract, non-disclosure agreement (NDA), and time sheet for the semester.
The student must sign and return the contract and NDA prior to starting to secure the assistantship. - Graduate assistants must complete and submit payroll paperwork monthly to the Office of the Academic Dean (with supervisor’s signature).
- Graduate assistants are expected to work all required hours and must make up any hours they miss due to other obligations or circumstances.
Terminating a Graduate Assistantship
- If issues with arise with a graduate assistant’s work, the supervisor should first try to remediate the issue internally.
- If the issue cannot be resolved internally, the supervisor should contact The SGPS Academic Dean to initiate the Graduate Assistantship Termination Policy.
- The SGPS Academic Dean will determine the best resolution for each situation and may meet with the supervisor(s), graduate assistant(s), and others as needed.
